  • Vendor Information

    Booth & Tent Rentals

    • 10x10 pipe and draped sections or Tents available for listed registrant price.
    • To increase square footage of desired space, purchase additional 10x10 space(s) at a reduced, fixed price.
    • Fees cover both days of the festival.
    • No space can be held, without an acknowledgement of contract, which requires a minimum deposit ($120) or payment in full.
    • Deposits are acceptable for space reservations, up to one week ahead of the scheduled event date. Payment in full expected, by the Friday before.
    • Outstanding dues will be automatically charged, if not received by stated deadline. Same card used for deposit will be charged on Friday start date.
      Beverage Procurement
    • Alberta Brewers are welcome to supply their own liquor inventory, for the event.
    • Alternatively, please fill and submit Liquor Order Form (found under Exhibitor Registration).
    • Orders submissions will be processed, up to 10 days of scheduled start date.
    • Liquor orders delivered to venue site, Friday opening day. Delivery window scheduled for 10:00 a.m. to 1:00 pm.
    • A refrigerated truck will be on site to keep kegs cold. Located in loading dock.
    • Preferred supplier – Super Value Liquor, https://www.supervalueliquorstore.ca/
      Setup and Supplies
    • Beerfest standardized setup will include 10x10 space, with 1 Table, plus pipe & drape.
    • Further supplies and décor are the responsibility of each exhibitor. · Additional supplies available at the venue. Additional supplies and rental fees are provided by Edmonton Convention Centre. Please contact Event Management to place your order (contact found on page 3).
    • On-site electricity and unique power connections can be booked and invoiced through ShowTech (contact found on page 3). Recommended for tents and larger setups.
      Ice & Empties
    • Ice is available for purchase, throughout the entire event. Located near loading dock.
    • Price per bag is $10. Usage will be monitored and recorded by event staff.
    • Ice totals will be deducted from final rebate cheques.
    • Bottles and cans are collected annually for donation purposes. Please use recycle bags for empties to be collected.
    • Please store empties in booth or pass to an organizer for collection.
    Insurance Protection
    • Vendors of any kind are responsible for being insured at the event. Individual coverage is necessary to uphold larger policies in place, for event and venue liability protection.
    • Minimum expected liability requirement is $1M, optimal $3M (according to insurance provider).
    • “Additional Insured” must include the following name and address: Loud City Sound Inc. #239, 10072 Jasper Avenue NW, Edmonton, Alberta T5J 1V8.
    • Insurance Certificates must be submitted, one week ahead of the scheduled event date (same as payment deadline).
    • No vendor will be allowed on site for set-up, without receipt of full payment and insurance.
    Food Service
    • Vendors who prepare and serve food on site must meet all Alberta Health Services (AHS) policy criteria, for the duration of the event.
    • Food service vendors are accountable to and responsible for meeting AHS policy and code requirements.
    • Inspectors will arrive on site by 3:00 p.m. for final certifications, opening day.
    • Food preparation is cause for and subject to random AHS inspections.
    • Service can be discontinued for non-compliance, by an AHS officer, at any time. No refund will be provided.
    • Please fill and submit AHS application, as per their direction and deadline.
    • AHS application is located under Exhibitor Registration tab. Fill and submit through Beerfest website.

      Liquor Service
    • Vendors who serve liquor on site must meet all Alberta Gaming and Liquor Commission (AGLC) policy criteria, for the duration of the event.
    • Liquor service vendors are accountable to and responsible for meeting AGLC policy and code requirements.
    • Liquor service is cause for and subject to random AGLC inspections.
    • Sample sizes are limited by the AGLC to the following:

      § Beer – 4 ounces

      § Wine – 2 ounces

      § Spirits – .5 ounces

    • Service can be discontinued for irresponsible pouring and non-compliance, by the AGLC, at any time. No refund will be provided.
    • Vendors are responsible for their own liquor order and sample cups, for weekend service. Please come prepared with enough of both.
    • Vendors are responsible for storing their tickets in a dry, safe space. Wet tickets cannot generate an accurate weight and will NOT receive rebates.
    • Keg lines should remain clear of festival isles, at all times, to prevent disconnections and spoilage.
    • Please fill and submit liquor order by festival deadline. Max deadline is 10 days ahead of event start date.
    • Liquor Order form is located under Exhibitor Registration tab.
      Exhibitors Receive:
    • Standard 10’x10’ foot space, pipe drape and table.
    • Five exhibitor passes. (additional badges available by request).
    • Five complimentary General Admission tickets. Available by speaking with your point of contact.
  • Show Regulations

    Saturday Evening Strike

    Festival Takedown and Move-out occurs after 10:00 p.m. Saturday evening. Booths and tents will be taken down, while vendors clean up their spaces and pack belongings. The loading dock is needed by most vendors, for move out. Please practice patience at this time and be mindful that everyone will be trying to accomplish the same thing, at the same time.


    Sample Tickets & Rebates

    Sample tickets that are collected over the weekend will be weighed Saturday evening. During or following the vendor strike process, a designated member can have ticket bags weighed, for future rebate distribution. A ticket weights area will be stationed beside the Main Stage at 10:30, for assistance. To receive your rebate, sample tickets must be dry and weighed. Wet or abandoned tickets will effectively void the vendor rebate contract.

    1. Alcohol is sold in sample sizes of no more than:
      • Beer – 4 ounces
      • Wine – 2 ounces
      • Spirits – .5 ounces
    2. Absolutely no over-serving of alcohol will be tolerated
    3. Free sampling of alcohol is not permitted
    4. Serving prior to and/or after festival hours of operation will not be permitted
    5. All Alberta Health Services Regulations must be adhered to
    6. Apart from vendor beer and wine bottles, which must be served in plastic sampling cups by the vendor, no glassware is permitted anywhere on site.
    7. All recyclable bottles and cans should be donated to our volunteer partner, who will be onsite to collect
    8. Vendors may not share vendor space without the consent of the organizers
    9. Vendors are not permitted to sample alcoholic beverages while working
    10. Only approved food vendors may provide or serve food
    11. A minimum of one staff member must be present in each booth, at all times
    12. All vendors must maintain their booths in a respectable order
    13. Vendor booths must be fully operational for the full hours the show is open
    14. Ice will be available for purchase from our volunteer partner. This will be recorded through the duration of the event, and deducted from your rebate cheque.
  • Please enter the legal name for the organization that will be billed for the exhibitor space.
  • Please enter the name of the Brewery and brands that are being represented.

  • Booth pricing is per 10’ x 10’ lot space. Additional 10’ x 10’ spaces are $385.
